TERMS AND CONDITIONS

1.     RESERVATION
Special airfares are capacity controlled and often sold out months in advance. In addition, many accommodations offered by Vacation Safaris  have a limited capacity. It is essential to make reservations well in advance to insure your preferred arrangements
Vacation are booked and confirmed only on receipt of Non refundable $250 payment. This payment is due within two (2) working days of making the reservation. Failure to remit your booking payment on time will result in an automatic change of status of any confirmed space to a provisional basis and the possible inability to reinstate your reservation. When Vacation Safaris receives your payment, a booking reference number will be assigned. This number shall be deemed to constitute acceptance and confirmation of your booking

2.     AIR TICKETS
After payment of the initial deposit, reservation for air-ticket will be made immediately to ensure space is reserved. According to the current airlines regulations, all travel participants must issue the ticket right after their tickets have been confirmed by the airline concerned . Tour participants will be required to make payment for the issuance of the air-ticket. The payment for the issued air-ticket constitutes partial payment. Most of Air ticket are non-refundable but can be changed for a fee with with advance notice

3.     FINAL PAYMENT
The balance is due no later than Ninety (90) days prior to commencement of your vacation. If the balance has not been received by that date, Vacation Safaris . shall be entitled in its discretion to treat your reservation as canceled, and consequently to forfeit such part of the advance payment as determined solely by Vacation Safaris
Also No client will be permitted into the field without payment in full being received.

4.     LAST MINUTE
Any reservation made within Ninety (90) days of commencement of a travel may be accepted at higher rate provided space is available, payment in full is received, and provided that documents can be delivered prior to departure.

A)    Any cancellation of a booking must be in writing and shall only be effective upon its acknowledged receipt by Vacation Safaris  Cancellation charges shall apply in the following circumstances:

• Cancellation 121 days or more prior to the vacation starting date is subject to a 5% administration fee.
• Cancellation 120 to 61 days prior to the vacation starting date, 90% is refunded.
• Cancellation 60 to 31 days prior to the vacation starting date, 50% of the total program cost is forfeited.
• Cancellation 30 days or less prior to the vacation starting date and "no shows", total safari cost is forfeited

B)    If you are a "no show", Vacation Safaris shall be entitled to treat your reservation as canceled without having given Vacation Safaris any notice, and the provisions of Paragraph 2(A) shall apply.

C)    Any request to amend or change a booking once it has been confirmed may be accommodated subject to space availability and applicable fee if any. If Vacation Safaris is able to assist, a fee of $75 plus applicable penalty per change will be assessed. These fees will be added to your final invoice.

D)    No refunds are given (1) for lost travel time or substitution of facilities, (2) for itineraries amended after departure, (3) for circumstances arising beyond the control of Vacation Safaris, necessitating alternative arrangements being made to ensure the safety and / or further participation and enjoyment of your safari, (4) if you do not appear for any accommodation, service, sightseeing or trip segment without notifying Vacation Safaris , or (5) if you leave your safari after it has begun, or miss any scheduled sightseeing, activities, meals or accommodations.

5.     TRAVEL INSURANCE
Vacation Safaris offers 3rd Party comprehensive Travel Protection Plan to protect yourself against the unexpected and cover the costs of your vacation and more. While it is possible to pay less through other insurance, your coverage and benefits are going to be significantly less as well. Peace of mind and knowing that you have the best protection possible will allow you to relax and enjoy your vacation. There are many other advantages to insuring with a third-party provider like Insurance company chosen by us, such as protection from financial insolvency of your cruise or other travel provider, 24-hour emergency assistance from anywhere in the world and direct payment to your medical provider in the event of an emergency. Insurance protects you before, during and after your trip, and our claims are paid in cash. Travel Protection Plan includes:

• Up To Trip Cost* on Pre-Departure Trip Cancellation
• Up To 150% Of Trip Cost* on Post-Departure Trip Interruption
• $150 per day Trip Delay (8 Hours or Moore)
• $100,000 Accident and Sickness Medical Expenses
• $1,000,000 Emergency Medical Evacuation and Repatriation of Remains

Vacation Safaris and its agents, act only as the agent of passenger in all matters relating to accommodation, meals, tours and transportation of any type, and shall not be liable for inconvenience, omission of service, injury, delay, loss or damage from any cause and in any manner howsoever, including  weather, machinery breakdown, labor disputes, civil disturbances and government orders. Vacation Safaris  is insured against legal liabilities arising from injuries which may be incurred by passengers in its own vehicles or providers, in which cases all claims are subject only to the jurisdiction of the Courts in Overland Park Kansas. Vacation Safaris  reserve the right to employ sub-contract to carry out all or any part of the services agreed to be supplied, and in the exercise of such right, the clause relating to liability shall apply. Vacation Safaris  also reserves the right, should conditions necessitate and without notice, to change any route or arrangement, to offer substitutes of equal value, to cancel the operation of any scheduled tour, to refuse to accept or retain any person as a tour member at any time, in which cases an equitable amount may be refunded.
